Practice Policies

Important information about our practice policies to help ensure a smooth care experience.

Payment Policy

  • Wayfinder Functional Medicine is a cash-based practice and does not bill insurance directly.
  • Payment is due at the time of service for all visits.
  • We accept major credit cards, debit cards, and HSA/FSA cards.
  • Upon request, patients can receive a superbill (detailed receipt) to submit to their insurance for possible out-of-network reimbursement.
  • Membership fees are billed monthly and are due at the beginning of each month.

Cancellation Policy

  • We require at least 48 hours notice for appointment cancellations or rescheduling.
  • Late cancellations (less than 48 hours) may be subject to a cancellation fee.
  • No-shows may be charged the full visit fee.
  • We understand emergencies happen - please contact us as soon as possible if you need to cancel.

Messaging Policy

  • Messaging is available to membership patients for brief updates, clarification, and simple questions.
  • Messaging is not a substitute for scheduled visits.
  • Clinical decision-making, medication changes, treatment adjustments, and lab interpretation require a scheduled visit.
  • We aim to respond to messages within 1-2 business days.
  • Urgent or emergent issues should not be communicated via messaging - please seek appropriate emergency care.

Membership Policy

  • PANS/PANDAS care is provided through structured membership care.
  • Membership is billed monthly at the beginning of each month.
  • Visits included in membership are intended to be used within the membership period and do not roll over.
  • Patients may transition between membership tiers as their clinical needs change.
  • To cancel or pause membership, please provide at least 30 days notice.
